A paper visitor book tells you who signed in this morning. It does not tell the person they came to see, it does not know whether their DBS check is still valid, and when the fire alarm goes off nobody is quite sure who is still inside.
Today we are launching Visitor Management in Wizard Application. Register the visitors you expect, hand each one a Wizard Tag card at reception, and let them check themselves in and out with a tap on a tablet.
How a visit works
- Register them. Add the visitor, who they are seeing and when they are due. Someone who has visited before is one search away, with every past visit and check on their record.
- Hand over a card. Reception gives them a Wizard Tag card from the stack. It is theirs until they hand it back on the way out.
- Tap in and out. They tap the card on the kiosk to check in, and again on the way out.
A kiosk that stays locked
The kiosk is a tablet at reception that only ever shows the tap screen. It is paired with a one-time code, it is never signed in as a person, and nothing in your workspace can be reached from it. If a tablet goes missing, sign it out from Wizard Application in a click.
- Any tablet. An Android tablet reads the cards itself with the Wizard Application app. Any other tablet, including an iPad, works in the browser with a USB or Bluetooth NFC reader.
- Copies are turned away. A card copied from another, or a link typed in from a photo, will not check anyone in.
Hosts know the moment their visitor arrives
When a visitor taps in, their host gets a notification and an email straight away. Each kiosk can also tell a list of people about every arrival, so reception always knows who has just walked in.
Checks before entry
Record DBS checks, police vetting, site inductions or any other check you need, with a reference number, the date it was done, when it expires and who verified it. Checks that are about to expire are flagged before they lapse.
Make a check required and the kiosk will not let anyone in without it. A visitor whose check is missing or out of date is asked to see reception, and reception is told why. Staff can still let them in, and that decision is recorded on the visit.
Who is on site right now
The Today page shows who is on site, who is expected and who has left, with filters for the visitor, the host, the status and anyone missing a required check. A visitor who leaves with their card is listed until reception has it back, with their email and phone to chase it. Print the on-site list in one click when you need a fire roll call. Every check-in, check-out and change is kept in the visit history.

Visitor Management is included on every plan, including the free Starter plan. Wizard Tag cards are ordered separately from your workspace or when you sign up, and they cost the same as Wizard Tags.
