Switching from monday.com to Wizard Application: What Moves and How

monday.com is popular for good reason. Its boards are flexible, easy to start with, and can be shaped around almost any kind of work. For many teams it becomes the place where projects are planned and tracked.

The trouble tends to arrive later. Projects live in monday.com, but clients live in a CRM, hours live in a timesheet tool, and invoices live somewhere else again. Every handover between those tools is a chance for something to be missed. If you are weighing up a monday.com alternative, this guide covers what moving your project work into Wizard Application involves, how your boards map across, and what you gain by making the switch.

Step 1: Decide what is moving

monday.com accounts tend to collect boards over time. Before exporting, sort yours into three piles:

  • Live projects. Boards the team works from every day. These come across first.
  • Reference boards. Finished projects you may need to look back at.
  • Abandoned boards. Experiments, templates nobody used and duplicates. Leave these behind.

It also helps to note how each board is used. A board that is really a project plan maps differently from a board that is really a list of clients or a request tracker.

Step 2: Export your data from monday.com

At the time of writing, monday.com gives you two ways to get data out:

  • Export a board or group to Excel. From the board, you can export the table on its own or include updates and subitems as well. This is ideal for moving a handful of live projects.
  • Export the whole account. An account admin can download all boards and files, including private and shareable boards, as a single zip file. On larger accounts this can take up to 24 hours, the download link arrives by email, and it can be run once every 24 hours.

If you are moving everything, the full account export is the safer option because it captures files as well as board data.

Step 3: How your boards map across

In Wizard Application, project management is built around projects and tasks, with Kanban boards, Gantt charts, backlogs and sprints available on the same data. A typical mapping looks like this:

  • Boards used as project plans become projects, which you can organise into folders and portfolios.
  • Items become tasks, with owners, due dates and status.
  • Custom columns map to custom fields, so the information your team tracks is kept.
  • Subitems, updates and files are agreed during mapping, based on how your team used them, so nothing important is flattened or lost.
  • Boards that are really client lists are better off in the sales CRM than in a project.

Step 4: Choose how to move

Projects and tasks come across through our migration service. It follows four steps: discovery, mapping, a test migration, and go live. You get a private staging link to review your projects inside Wizard Application before the final switch, and your team keeps working in monday.com until then, so there is no downtime. The assessment is free, and we quote once we understand your data.

If you also have client or contact lists to bring across and a developer on hand, those can be imported through the REST API, which is included on the Professional and Enterprise plans.

What works differently

The difference you will notice most is what surrounds your projects. Time tracking runs on the same tasks, so hours logged against a project roll into timesheets and then into invoices without being re-entered. Projects link to the client in the CRM, and the same workspace also covers HR, a help desk and team chat. For software teams, backlogs, sprints and story points are built in, and GitHub can be linked to show commits and pull requests on each task.

Why teams move to Wizard Application

For teams doing client work, the case for moving comes down to connecting projects to everything around them:

  • Projects connected to clients. Every project links to the client in the CRM, so sales and delivery work from the same record.
  • Time that turns into invoices. Hours logged against tasks roll into timesheets and then into invoices without being re-entered.
  • Agile built in. Backlogs, sprints, story points, Kanban boards and Gantt charts come as standard, and GitHub can be linked to show commits and pull requests on each task.
  • One workspace. HR, a help desk and team chat live alongside your projects, with Wizard AI working across all of it.
  • We handle the move. Our migration team maps, tests and moves your boards, and you check everything on a staging link before you switch.

If your projects are client work that needs to be tracked, timed and billed, moving to Wizard Application puts all of it in one place.
