Switching from HubSpot to Wizard Application: What Moves and How

Step 1: Decide what is moving

Before exporting anything, write down what you actually use. Most small and growing businesses find their HubSpot account falls into three groups:

  • Core records you must keep. Contacts, companies and deals, plus the custom properties your team fills in.
  • History that is useful but not essential. Old notes, logged emails and closed deals from years ago.

Step 2: Export your data from HubSpot

At the time of writing, HubSpot lets you export each record type from its CRM views. Go to the contacts, companies or deals list, choose to export, and select all properties rather than only the columns currently on screen.

  • Choose CSV. HubSpot recommends CSV for exports with many columns, because XLS files are limited to 256 columns and CSV has no column limit.
  • Include associations. CSV exports can include all associated records, which keeps the links between contacts, companies and deals intact.
  • Watch your email. The download link arrives by email and expires after 30 days, so save the files somewhere safe as soon as they arrive.
  • Keep consent data. Exporting all contacts includes people who have unsubscribed. Keep that status in the file so your marketing preferences carry across correctly.

Step 3: How your records map across

Most of what a small business keeps in HubSpot has a direct home in Wizard Application:
