Switching from ClickUp to Wizard Application: What Moves and How

ClickUp sets out to be one app for all of your work, and for many teams it delivers a lot. Tasks, docs, whiteboards and dashboards sit in one place, and almost everything can be customised.

That flexibility has a cost. Over time a Workspace fills with Spaces, Folders, Lists, statuses and custom fields that only a few people fully understand, while clients still live in a CRM, invoices are raised somewhere else, and HR runs on another system entirely. If you are weighing up a ClickUp alternative, this guide covers what moving your project work into Wizard Application involves, how your ClickUp structure maps across, and what you gain by making the switch.

Step 1: Decide what is moving

ClickUp Workspaces grow quickly because creating a new Space or List costs nothing. Before exporting, sort yours into three piles:

  • Live projects. Lists and Folders the team works from every day. These come across first.
  • Reference work. Finished projects and docs you may need to look back at.
  • Abandoned structure. Test Spaces, unused templates and duplicate Lists. Leave these behind.

It is also worth reviewing your statuses and custom fields. A migration is a good moment to merge five slightly different versions of "In review" into one.

Step 2: Export your data from ClickUp

At the time of writing, ClickUp gives you a few ways to get data out:

  • Export task data from Workspace settings. Under Imports / Exports, you choose the Spaces, Folders or Lists to include and download a CSV file. It covers task fields and properties, including comments, time estimated and links to attachments.
  • Export a List or Table view. Useful for moving a handful of live projects, with the option to include subtasks.
  • Export Docs separately. Docs, whiteboards and dashboards are exported on their own rather than in the task CSV.

ClickUp notes that exports of very large Workspaces may not succeed, so it helps to export only the locations you need. Attachments arrive as links rather than files, so download anything you want to keep before your ClickUp subscription ends.

Step 3: How your ClickUp structure maps across

In Wizard Application, project management is built around projects and tasks, with Kanban boards, Gantt charts, backlogs and sprints available on the same data. A typical mapping looks like this:

  • Spaces and Folders become folders and portfolios, so work stays grouped by team or client.
  • Lists used as project plans become projects.
  • Tasks become tasks, with owners, due dates, priority and status.
  • Custom fields map to custom fields, so the information your team tracks is kept.
  • Subtasks, checklists and comments are agreed during mapping, based on how your team used them, so nothing important is flattened or lost.
  • Docs are better off in document management, alongside the rest of your files.
  • Lists that are really client lists belong in the sales CRM rather than in a project.
